Terms and conditions

Registration and payments

Registration
  • Early bird registrations will be accepted until 26 May 2023 midnight AEST.
    • Should your registration remain unpaid until 9 June 2023 registrations will be upgraded to the standard rate.
  • As of 27 May 2023, standard rate applies for every new registration.
  • Standard registrations will be accepted until 27 August 2023 midnight AEST.
  • Should your registration remain unpaid until 28 August 2023, registrations will be upgraded to the onsite rate.
  • As of 28 August 2023, onsite rate applies for every new registration

 

Payment conditions
  • Full payment of all items is requested when registering (by credit card or by bank transfer).

 

GST (Goods & Services Tax)

Registration fees include 10% GST. Tax invoices issued will indicate total GST included in the transaction.

Methods of payment
  • Credit card: only MasterCard and Visa are accepted.
  • All payments are to be made in Australian Dollars (AUD)
  • Payment by personal cheque is not accepted.

Modifications and cancellations

Cancellation policy

All delegate cancellations must be received in writing sent to the ICUC11 registration team at

  • For cancellations received on or before Monday 26 June 2023 will be refunded in full, less a 25% cancellation fee to cover administration costs.
  • No registration refunds will be made after this date.

    Refunds will be made after the event according to your payment method.

Modification policy

Any registration modification requests must be received in writing sent to MCI Australia at info@icuc11.com

Transfer of registration

As an alternative to cancellation, your registration may be transferred to another member of your 

organisation. Registration transfers must be sent in writing to the ICUC11 registration team at info@icuc11.com 

Postponed event policy

In the event the conference is postponed, existing paid registrations will automatically be transferred to the new conference dates. For existing paid registrations, you will receive communication confirming the successful transfer of your registration. If you do not wish to proceed, notification in writing will be required no more than 30 days from the announcement date to receive 100% refund. After this date, the standard cancellation policy will be applied. 

Cancelled event policy

100% refund is applicable in the event of conference cancellation (excluding fees and bank charges).

Force majeure

The ICUC Conference convenors, the hotels and MCI are not responsible for either the partial or total non-execution of the contract in the event of technology failure, accident, an act caused by a third party, such as Acts of God including, without limitation, credible threats of natural disaster in the geographic vicinity, war, curtailment or interruption of transportation facilities, threats or acts of terrorism or similar acts, governmental travel advisory, a governmental elevation of the terrorism alert level, civil disturbance, the issue of a Travel Warning by the World Health Organisation or any other cause comparable events or disaster beyond the parties’ control which prevents the platform from accommodating the clients of
MCI for the event or if for the same reasons the event is cancelled by MCI.

Social functions
  • The conference reserves the right to cancel or vary social functions if minimum numbers are not reached.
  • Due to commitments to catering, we cannot refund social functions and additional ticket cancellations less than 60 days prior to the event.

Accommodation and travel

Accommodation cancellation

Please refer to the individual cancellation policy of the hotel to ensure you are aware of cancellation penalties that may be applicable at your chosen hotel. Accommodation cannot be confirmed without a valid credit card. Payment will be processed by the booked hotel 30 days prior to check in. 

Cancellations in whole or part may incur a penalty at the hotel’s discretion.

Closure of a hotel

Should hotels promoted by the ICUC11 Conference close prior to the conference, MCI (event organisers) will assist to seek any pre-payment made by a delegate direct to the hotel and offer alternative options to the delegate. As the contract is direct between the hotel and delegate, no guarantee can be provided by MCI to any compensation MCI will not be financially liable for any financial loss.

At the time of booking a hotel, be aware of the individual Terms and Conditions of the Hotel you are entering into an agreement with.

Restrictions to travel

MCI recommends ensuring travel to the state of New South Wales, Australia is permitted. In the event Domestic or International restrictions apply, MCI will not cover any expenses related to restrictions to travel to New South Wales, Australia during the ICUC11 Conference.

Insurance and liability

It is recommended that participants obtain adequate cover for travel, health and accident insurance before they depart for the conference. The hotel and MCI as organisers cannot accept responsibility for personal injuries, or loss of, or damage to, private property belonging to the conference participants and accompanying persons.

Privacy statement
  • The provided name and contact information, including electronic address, may be used by parties directly related to the event such as the organisers and approved stakeholders, for relevant purposes such as promotion, networking, and administration of this, and future events of this type. If you do not consent, please email info@icuc11.com
  • In addition, your name, organisation and country/state of origin may be published on the delegate list which may be provided to delegates, exhibitors and sponsors at the conference. If you do not wish your details to be included in this list, please email  info@icuc11.com
Email communication
  • By providing your email address, you consent to be contacted by this method in relation to this event and future events of this type.
  • If you do not wish your details to be used for any of the above purposes, please email info@icuc11.com
Release and waiver of liability

The ICUC Conference convenors, the hotels and MCI are not responsible for either the partial or total non-execution of the contract in the event of technology fault, accident, natural disaster (either threatened or actual), in war, curtailment or interruption of transportation facilities, threats or acts of terrorism, governmental travel or terrorism advisory, Strikes, Lock out, civil disturbance, the issue of a Travel Warning by the World Health Organisation or any other cause beyond the parties’ control which prevents access to the platform for the event, or if for the same reasons the event is cancelled by MCI. The Organisers may at their entire discretion repay the delegate fee paid by the participant, or part thereof, but shall be under no obligation to repay the whole or part of such delegate fee, and shall be under no liability to the participant in respect of any actions, claims, losses (including consequential losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the participant, as the result of the happening of any such event.

Photography / videography disclosure

As a registered participant, you agree to grant permission for ICUC Conference convenors and MCI to use your likeness in a photograph or video in any and all of its publications and presentations, including website entries, without payment or any other consideration; to authorise ICUC Conference convenors and MCI to edit, alter, copy, exhibit, publish or distribute the photograph or video for purposes of publicising ICUC Conference convenors programs or for any other lawful purpose; to waive the right to inspect or approve the finished product, including written or electronic copy, wherein your likeness appears, that these materials will become the property of ICUC Conference convenors and MCI.

Sponsorship and Exhibition

The following are part of the contract between the sponsor and the congress managers, MCI Australia, and exhibitors/sponsors must observe these rules. In addition, any regulations imposed by the venue must also be observed. Any areas not covered are subject to MCI’s final decision.

Things you need to know
  • The following terms and conditions apply to your participation as a sponsor.
  • You (the sponsor) by returning a completed, signed and dated form explicitly accept these terms and conditions.
  • Details may change without notice. Please refer to the congress website for the latest information.
  • MCI Australia (ABN 76 108 781 988) representing the organising committee and the Host body does not accept responsibility for any errors, omissions, or changes.
  • You agree that the organisers and other authorised stakeholders may use your contact information for any relevant purpose such as administration or advising of future events. You may ask us to limit communication to necessary matters.
  • The platform and MCI do not take responsibility should internet connection become unstable. Internet connection is out of the control of MCI Australia and the Platform provider, it is the responsibility of the delegate/ sponsor/stakeholder to have stable connection to access the platform.
  • We will use reasonable endeavours to provide constant, uninterrupted access to the platform and the Services, but with any software product, this cannot be guaranteed. We will not be responsible or liable for any direct or indirect losses or damages suffered or sustained by you as a result of, or in connection with, any interruption or delay in accessing and using the Platform or the Services Use of the platform 
You will not, and you will ensure the Authorised Users will not:
  • Modify the platform or merge any aspects of the platform with another programme other than as expressly provided under this Agreement.
  • Record, reverse engineer, copy, duplicate, reproduce, create derivate works from, frame, download, display, transmit or distribute any of the Platform, the source code of the Platform or any documents, manuals or setup instructions provided with the Platform or in relation to the Services
  • License, sell, rent, lease, transfer, assign or otherwise commercially exploit the platform or the Services
  • Engage in unlawful behaviour, including unauthorised access to or use of data, services, systems or networks, including an attempt to probe, scan or test the vulnerability of a system or network or to break security or authentication measures
  • Access, store, distribute or transmit:
  • Viruses, work, trojan or other malicious code that corrupts, degrades, or disrupts the operation of the Platform.
    • Material that is unlawful, unethical, harmful, threatening, defamatory, obscene, infringing, harassing or racially or ethnically offensive or a contravention of the rights of any third party; Material that facilitates illegal activity, or
    • Material that abuses or causes damage or injury to any person or property
    • Provide Platform login details or password, or otherwise provide access to the Platform, to any unauthorised or unregistered third party and you will take all reasonable steps to prevent unauthorised access to, or use of, the Platform.
    • Share any features of the Platform that are not publicly available with any unauthorised third part; and
    • Engage in any conduct on the Platform that is in breach of this Agreement (or any agreements mentioned therein)
    • Any breach of this clause 1 constitutes a breach of this Agreement and we may, at our absolute discretion, terminate or suspend your access to, and/ or use of, the Platform or the Services, and/or take further actions against you for breach of this Agreement.
Services
  • All Services will be provided based on the information and specifications supplied by you. All information that we provide is supplied in good faith, but we do not warrant or guarantee the accuracy or completeness of any information provided by us or any third party. It is not within the scope of our obligations to enquire as to, or to verify, the accuracy of completeness of information that we receive from your or any third parties.
  • The Services, Deliverables and any Platform functionality specified in previous conversations are indicative only and may be amended by us from time to time. While Sponsorship and Exhibition Terms & Conditions we will use all reasonable endeavours to deliver the features and functionality specified therein, nothing in this Agreement prevents us from amending the Services at any time during the event delivery.
  • We will use reasonable endeavours to provide the Services promptly or by an applicable Delivery Date or such other dates as agreed by the parties in writing. Any Delivery Date or time quoted for delivery, commencement or completion of any part of the Services is an estimate only and time will not be of the essence.
Your obligations
  • You acknowledge that our ability to be able to provide the Services to you without delate or interruption is dependent on your full and timely cooperation. You will (and will ensure that the Authorised Users will):
  • Co-operate with and assist us in the supply of your content; Promptly provide us with full and accurate information, data and explanations as and when required;
  • Comply with applicable laws and regulations (including the General Data Protection regulation (“GDPR”) with respect to user privacy, data collection, data retention, data transmission, data storage and the use of cookies
  • Comply with all reasonable directions and guidelines from us as advised from time to time.
Financial facts
  • We will have no liability for any losses suffered or any damage caused by errors or omissions in any information or instructions provided to us by you in connection with the Platform, the Services or any actions taken by as at your direction.
  • Phone or unpaid bookings will not be accepted
  • We will issue a tax invoice which is payable within 14 days. If you miss the payment date, any time dependent discounts will be forfeited— i.e. you will be billed at the next highest level (early rate to standard, etc.
  • You will not receive any sponsorship entitlements, until all monies have been paid. • All sponsorship prices in this prospectus are in AUD ex GST (10%)
  • If you pay by credit card a payment processing fee may be applied 
  • If you pay by electronic funds transfer you agree to pay any bank charges and must include these in the amount you transfer
  • In no event will MCI Australia/ICUC be liable to you or any third party for any: Loss of profits, revenue, goodwill or business, business interruption, corruption, loss or alteration of data, downtime costs, loss of use, failure to realise anticipated savings or for any indirect or consequential loss of damage of whatsoever nature, however caused;
  • Viruses worm, trojan or other malicious code introduced into, or transmitted to, your or any third part during the course of using the Platform or the Services;
Cancellation
  • Your application to sponsor does not constitute an attendee registration. You will need to do that separately as per the information provided in the technical manual.
  • You must notify us in writing if you need to cancel
  • Cancellations made on or before Friday 27 May 2023 will be refunded less 50% cancellation fee.
  • Cancellations received after Friday 27 May 2023 will not be entitled to a refund.
  • Your non-payment does not cancel your contractual obligations to us
  • In the unlikely case that the event cancels, ICUC will refund your full financial investment minus any expenses incurred to date of the cancellation. This includes, but not limited to, platform costs for your program involvement and any promotional exposure up until the time cancellation occurs.
  • In the unlikely case that the event postpones or changes format significantly from what is outlined in this prospectus the extent of refunds will be a matter for the Host Organisation (the underwriter) to decide. The ICUC 2023 will forward requests for annulment of contract or refund to MCI Australia for arbitration.
You and your staff
  • Your application to sponsor does not constitute an attendee registration. You will need to do that separately as per the information provided in the technical manual.
  • Your staff (even if entitled to a complimentary registration) will be denied access to the event unless they have completed the relevant registration form.
